Cancellation Policy
Plans change — we get it. As a non-profit, rental income supports our community programming, so our policy balances flexibility with the impact of late cancellations.
Please note: This policy applies to rental fees only. Film licensing fees are non-refundable, as those payments are made to distributors in advance and are not returned to us.
Small Group Bookings (Fewer Than 25 People)
- 14+ days notice: Cancellations and date changes are accommodated.
- Less than 14 days: No refunds, but we’ll honour your deposit toward a rescheduled date.
- Less than 7 days: No refunds or credits.
Large Group Rentals (25+ People)
If you cancel:
- More than 30 days out: Full refund minus a $75 admin fee, or full rental credit (no fee).
- 15–30 days out: 50% refund, or 75% rental credit.
- 8–14 days out: 25% refund, or 50% rental credit.
- 7 days or less: No refund. A 25% rental credit may be offered case-by-case.
The Fine Print
- Refunds are returned to the original payment method within 10 business days.
- Rental credits are non-transferable, valid for 6 months, and apply to venue rental fees only (not staffing, concessions, or equipment).
- Credit use is subject to availability — book early.
- Emergencies happen. In exceptional circumstances (extreme weather, medical emergency, etc.), we may offer a full refund or credit at our discretion.
If We Have to Cancel
In the rare event we have to cancel (e.g., flood, equipment failure, building closure), you’ll receive a full refund of rental fees paid, or the option to reschedule.
